HOW WE USE YOUR DATA FOR RECRUITMENT

This privacy policy covers how we collect, use, store and protect the data that is supplied to us by our job applicants and agencies.

Our Commitment to Job Applicants

We are committed to managing your personal information securely and with respect in accordance with the General Data Protection requirements.

If you are interested to apply for a position at Valid Insight or to learn more about a position you may be asked to provide personal information. This could be collected from you through the Valid Insight Careers page, from third party websites, by telephone or by email. The information you provide Valid Insight is processed and used by Valid Insight only for the job recruitment, applicant and placement process.

The information we collect may cover the following:

We may also collect, store and use “special categories” of more sensitive personal data which require a higher level of protection such as Information about your race or ethnicity, religious beliefs, sexual orientation and political opinions. Also, information about criminal convictions and offences.

We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only once a job offer to you has been made and will inform you that we are doing so.

Purpose of collection

The purpose of collecting this information is to find suitable candidates to fulfil a specific role within our organisation, and checking you are legally entitled to legally work in the UK. We collect personal information either directly from candidates or sometimes from an employment agency.

Valid Insight has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.

How the information is held.

Most information is transmitted by email and is stored on our computers and cloud storage, plus paper files in some cases. Our computers are safeguarded by anti-virus software and the regular changing of security passwords.

For how long does Valid Insight keep applicant data?

The information on candidates for specific roles will be held for 6 months in line with CIPD recommended best practice. After which paper files will be securely shredded and computer records deleted. Only if we have asked, and you have given your consent for the data to be held will this not apply.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your Human Resources file (electronic and paper based) and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice.

Disclosure

We may disclose the information for the purpose it was collected for usually referees.

You have specific rights in connection with personal information: request access to your personal information; request correction of the personal information that we hold about you; request erasure of your personal information; object to processing of your personal information where we are relying on a legitimate interest; request the restriction of processing of your personal information; request the transfer of your personal information to another party and the right to withdraw consent.

We will only use your personal information in the manner described in this Privacy Policy. However, we reserve the right to change the terms of this Privacy Policy at any time by posting revisions to our Sites.
